If you've started pricing out coffee catering for an event in New Jersey or New York City, you've probably noticed the quotes vary a lot. Some vendors charge per person, some charge flat day rates, and some don't post pricing at all until you fill out a form. Here's what actually drives the cost, and what a fair quote looks like.

What Drives Coffee Catering Pricing

Most reputable coffee catering companies, including us, price by the hour rather than per drink or per guest. A few factors move the number up or down:

  • Event length. A 2-hour cocktail hour costs less than a 6-hour conference.
  • Guest count. Larger events may need a second barista or a second cart to keep the line moving.
  • Location. Travel distance from the vendor's home base can add a fee, though it shouldn't if the vendor is actually local to your event.
  • Customization. Branded cups, cart wraps, and custom signature drinks are typically priced as add-ons.

Typical Cost Ranges

For a standard mobile espresso bar with one barista, most NJ and NYC vendors fall somewhere between $150 and $300 per hour, fully inclusive. That range usually covers the barista, the equipment, standard drinks (espresso, lattes, cappuccinos, teas), cups, lids, and setup and breakdown time.

Where it gets expensive is add-ons and hidden fees. Watch for vendors that charge per drink on top of an hourly rate, or that quote a low hourly number and then add travel, setup, and gratuity separately at invoice. Ask for the fully inclusive number up front.

Not dramatically. A corporate event and a wedding use the same hourly structure. What changes is what people usually add on. Corporate clients tend to add branded cups and cart wraps. Wedding clients tend to add a custom signature drink and latte art. Brand activations almost always include a branded setup since visibility is the point of the event.

How to Get an Accurate Quote

The fastest way to get a real number is to share your date, guest count, event length, and location up front. Vague requests get vague quotes. A vendor should be able to give you a fully inclusive hourly rate within a day of hearing those details.
